7 ways online scheduling helps your practice

Online scheduling lets patients pick an open time on your calendar without calling you. For a small practice that means fewer phone calls, fewer double-bookings and a booking page that is open when your office is not. Here are seven concrete ways it helps, and how each one works in RafaNest.

1. Patients can book when your office is closed

Your booking page is available around the clock. A patient who finds you in the evening can choose a service and a time straight away instead of leaving a voicemail. New patients enter their name and email, receive a six digit code and confirm the booking, with no password to create.

2. You spend less time on the phone

Every visit booked online is a call or an email exchange you did not have to handle. Set your weekly hours in Calendar, add a location and at least one service, and share your booking link in your email signature, on your website and on social profiles. If you want to review requests first, turn on appointment approval and new bookings will wait as Pending until you approve them.

3. Reminders help patients show up

RafaNest emails each patient a reminder roughly a day before the visit. It includes a link to confirm, to pick another time from your open slots and, where your settings allow it, to cancel. Patients who agreed to text messages get a text reminder too, since US law requires that consent. A cancelled time is freed for someone else. 4. Fewer scheduling mistakes

The calendar checks every request against your rules. It rejects a time that overlaps an existing appointment, a time in the past, and a booking that comes in sooner than your minimum notice. Blocked dates such as holidays and special hours for a single day are respected too, so you avoid double-bookings and misheard times.

5. A waitlist for full days

When a day has no open times, the booking page offers a link that says Tell me if a time opens up that day. The patient leaves a name and email. Every three hours RafaNest checks whether that day now has an opening, and if it does, each waiting patient gets one email with a link to that day. No time is held for anyone, so the first person to book gets it.

6. You stay in control of the rules

Under Settings you decide how much notice you need, whether patients may cancel online and what your refund window is. Patients see those terms before they book and before they cancel.
