You can have a working online booking page in a few minutes. Create your account, confirm your clinic basics and first service, then add a location and your weekly hours. Once those three things exist, patients can book you at your own booking link. Here is each step in order, and what to do after your page is live.
1. Create your account
Sign up with your name, email and a password, or continue with Google. Then enter your business name, your practice type and the consents you are asked to accept. The Starter plan is free and includes an online booking page, a calendar, email and text reminders, encrypted patient records and an AI booking assistant for up to 25 active patients. A free signup goes straight to setup. Professional and Premium start with a 14-day trial, and you can add a card or skip it and decide later.
2. Confirm the basics and add a first service
The setup screen asks for your business name, your booking URL, a phone number and your time zone. The time zone matters more than it looks, because it decides which times patients are offered, so check it. The booking URL becomes your address, for example your-clinic.rafanest.com.
You can add your first service on the same screen, with a name, a length in minutes and a price. It is optional, and you can add as many services as you like later, or edit them at any time.
3. Add a location and your weekly hours
A yellow banner at the top of every page lists what is still missing before patients can book. There are three things.
- Location. Add where you see patients. If you only work by video, add a location named Online with no address.
- Service. At least one, with its length and price.
- Working hours. Open the calendar and set your weekly hours. With more than one location, set hours for each. RafaNest turns these rules into bookable times and does not offer a time that is already taken.
When all three are done the banner turns green and shows your booking link. If you would rather talk than click, you can also tell the AI Assistant something like "I see patients Monday to Thursday 9 to 5 at 12 Main St, 60-minute sessions for $120".
4. Share your link
- Add it to your Instagram and Facebook bio
- Put it in your email signature and on your website
- Print it on a card for your waiting room, or send it directly to patients
A new patient enters a name and email, taps "Email me a code" and types the six-digit code to book. There is no password to create. If you prefer to review new bookings first, you can require your approval in the settings, and new bookings then arrive as Pending until you approve them.
5. What to do next
- Take payment at booking. Connect Stripe from the payments page, which takes about two minutes. Payments go to your bank account and RafaNest does not take a percentage. Card payments are part of the Professional plan.
- Bring your patients. Import a spreadsheet of up to 500 patients, and record which of them agreed to receive text messages, since texts go only to patients who did. If you are switching systems, you can also import your upcoming appointments from a CSV file.
- Check your reminders. Reminders are on by default, and you can change the wording under Templates. See how to reduce no-shows with automated reminders.
- Set your booking rules. Minimum notice, whether patients can cancel online and your refund window are in the settings under Booking and cancellation.
