Switching from SimplePractice to RafaNest

Most solo practitioners do not leave their practice software because something broke. They leave because the bill crept up, an add-on they needed turned out to cost extra, or they realised they were paying for features they never open. A common solo setup makes the difference concrete. Telehealth plus AI notes is $59 a month on RafaNest Premium. On SimplePractice it is a plan from $49 plus the $35 Note Taker add-on, so at least $84 a month.

How the move works

1. Export from SimplePractice. Your client list comes from the Data export page in your practice settings (choose the contacts export), and your appointments come from an Appointment status report. Both download as CSV. Only the account owner, or a practice manager with export permission, can run the data export.
2. Import into RafaNest. RafaNest reads columns by their header, so rename yours to match the template we provide (Date, Time, Patient name, Email, Phone, Service, Location). An appointment that overlaps something already on your calendar is skipped and flagged instead of double-booked, and patients are sent nothing unless you tick the box to notify them.
3. Load your services and hours, and connect Stripe. That gives you a booking page that can take a card payment the same day.
4. Run both for a while. Reminders start going out from RafaNest. Move your calendar over when you feel comfortable, at your own pace.

One thing the import does not do is bring over clinical notes or charts. It moves your client list and your upcoming appointments. Keep your SimplePractice export of your records for your own retention obligations.
